Provider Setup Requirements
Setting up a provider in the practice management software requires gathering and entering detailed information. Each data element serves a specific purpose on claims and must be accurate to avoid rejections.
Basic provider information includes the provider’s full legal name, credentials (MD, DO, NP, etc.), practice address, phone and fax numbers, and email address.
Provider Specialty and Taxonomy
The provider’s specialty and taxonomy code identify their area of practice and may affect how claims are processed or what services are considered appropriate for the provider to perform.
Identification Numbers
Identification numbers are critically important.
- The NPI (National Provider Identifier) is required on all claims.
- Tax identification numbers (TIN or SSN) identify the billing entity for payment purposes.
- State license numbers verify that the provider is authorized to practice in the state where services are rendered.
- Insurance-specific identifiers may also be required. Some payers assign their own provider numbers or require group numbers for providers who are part of larger organizations. These payer-specific IDs must be correctly entered to ensure claims are processed under the right contract.
